Product Security Highlights

G Suite for Work offers administrators extensive control over system configuration and application settings—all integrated into a single dashboard that includes many easy-to-use security features. This section summarizes several of these features; for details, see the Google for Work Security and Compliance Whitepaper.

Data Loss Prevention (DLP)

Google for Work administrators can set up a DLP policy to protect sensitive information. A library of predefined content detectors is provided to make setup easy. Once the DLP policy is in place, Gmail will automatically check all outgoing email and take action: either quarantine the email for review, tell users to modify the information or block the email from being sent and notify the sender.

Two Step Verification And Security Key

2-step verification greatly reduces the risk of unauthorized access by asking users for additional proof of identity when signing in. The Security Key feature offers another layer of security for user accounts, by requiring a physical key.

G Suite Identity Services (IDaaS)

With theG Suite for Work single sign-on service (SSO), customers can use one set of credentials to access multiple apps. Google products support SAML 2.0 (Security Assertion Markup Language) for more than 15 popular Software as a service (SaaS) identity providers.

Information Rights Management (IRM)

To help admins maintain control over sensitive data, they offer Information Rights Management in Google Drive. Administrators and users can disable downloading, printing, and copying from the advanced sharing menu.

Data Retention and eDiscovery

The G Suite Vault lets you retain, archive, search, and export your organization’s email for your eDiscovery and compliance needs. Vault is entirely web-based, so there’s no need to install or maintain any software.

Mobile Device Management (MDM)

The G Suite for Work Admin console helps you manage your users’ Android, iOS, Windows, and Blackberry devices. With MDM, you can enforce device policies throughout your organization and perform other security-related actions, such as remote wiping.

Suspicious Login Monitoring

Google uses its robust machine learning capabilities to help detect suspicious logins. When they discover a suspicious login, they notify admins so they can work to ensure the accounts are secured.

Spam Filters And Malware Detection

Google has one of the best spam filters available. they use machine learning to detect and block even the most advanced types of spam. Less than 0.1% of email in the average Gmail inbox is spam, and incorrect filtering of mail to the spam folder is even less likely (under 0.05%).

No advertising In G Suite for work

There is no advertising in the G Suite core services. they have no plans to change this. Google does not collect, scan, or use data from Google Apps core services for advertising purposes.

Data Access And Restrictions

Only a small number of Google employees have access to customer data. Access rights and levels are based on employee job function and role; they use the concepts of least privilege and need-to-know to match access privileges to defined responsibilities.

Law Enforcement Data Requests

Google may receive direct requests from governments and courts around the world for customer data. The customer, as the data owner, is primarily responsible for responding to law enforcement data requests. Respecting the privacy and security of the data you store with Google remains our priority as they comply with these legal requests.

Customer Administrator Roles

While they are managing servers, software or patches customers can assign a variety of internal administrative roles and privileges to manage their users. This role-based access control in G Suite protects privacy by allowing individual team members to manage certain services or perform specific administrative functions without gaining access to all settings and data.

Our physical security model includes standard safeguards like custom electronic access cards, perimeter fencing, and metal detectors. But they also use cutting-edge tools like biometrics and laser-based intrusion detection — making physical breaches a “mission impossible” scenario for would-be attackers.

At Google, all employees are required to be security-savvy. From hiring and onboarding to training and events, they continually raise awareness and encourage vigilance. Google employs more than 550 full-time security and privacy professionals. Our team includes some of the world’s foremost experts in information, application, and network security.

Billing information

When you sign up for Google Apps, you get a free 14 day trial to use Google services with 10 or fewer users. To continue service after that or to add more than 10 users, you must set up billing for your subscription. It’s important to set up billing before your free trial expires so your services aren’t suspended. You can set up billing at any time.

When you first set up a Google billing account, you choose a country where you do business and a currency you want to pay in. Your country determines what payment methods you can use. Choose your country and currency carefully, as you can’t change these selections later.

When you set up billing for Google Apps, you choose between two billing plans: A Flexible Plan where you’re billed only for the user accounts you use each month. Or an Annual Plan, which provides a discount if you commit to a year of service for a minimum number of users.

You can pay for your Google Apps subscription using an international credit card. Google accepts payments from Visa, Mastercard, and American Express. Or in some locations, you can pay by making withdrawals from a bank account (also called direct debit).

Switching between multiple accounts

If your organization acquires a new domain name or does business at multiple domains, you can add all your domains to your account at no extra cost. Users can then have identities at one or more of your domains while sharing services as part of a single organization. And you manage your domains from the same Admin console. You add a domain as either a separate domain or domain alias, depending on how you plan to use it.

Language Support

As the administrator, you can choose a default language for Google Apps.

Gmail, Google Calendar, Google Docs, and other product interfaces are available in many languages. Generally, the language setting is available under Settings in the top corner of a product page.

Admin support

You can share the responsibility of managing your Google for Work account by assigning administrator roles to other users. Assigning a role grants the user access to your Google Admin console. You can make a user a super administratorwho can perform all tasks in the Admin console. Or you can assign a role that limits which tasks the administrator can perform, for example, by allowing them only to create groups, manage service settings, or reset a user’s password.

To get started with administrator roles:

Review pre-built roles

they’ve created administrator roles for performing common business functions that you may be able to use out of the box—one role for managing users, another for groups, another for services, and so on.

Create custom administrator roles

If the pre-built roles don’t meet your needs, create your own custom roles. For each custom role, choose from the same set of privileges used in the pre-built roles, grouping them however you want.

Assign roles to users

Assign administrator roles to users that let them perform the tasks you want them to manage. For roles that permit managing users, optionally assign the organizational unit you want them to manage.

Setup and Deployment

As an administrator of your Google Apps account, you’ll enjoy a new way of managing your users’ services from the cloud. This can be as simple as adding users to your account, activating their email, and letting them start using services. But Google Apps gives you additional controls over your users’ data and security that they recommend you take advantage of. Here are some key tips for managing Google Apps for your organization.

1. Add users and manage services in the Google Admin console

To let people in your organization start using Google Apps, you must add them to your account. You can do this from any computer or even your mobile device using the Google Admin console. In any web browser, go to admin.google.com and sign in with your administrator name and password. You also use the Admin console to manage users’ services, passwords, and all other aspects of your account.

2. Add layers of privacy and and security

Google Apps includes many critical security features designed to keep the data you place on our systems safe and secure. they also recommend that you follow our security best practices to add additional layers of security, such as 2-step verification for enhancing password security and anti-spoofing measures to combat email abuse.

3. Control users’ access to features and services

Initially, most services are turned on for all your users. But you can use your Admin console to turn off services you don’t want people to use, or to tailor how services work. Make the same settings for everyone, or apply policies to different users. For example, you might turn on Hangouts just for your support team or allow only the marketing department to share public Google Sites.

4. Switch your business email to Gmail

Users you add to your Google Apps account get an email address at the domain you provided when you created your account. They can use this address with your Google Apps Gmail service. If they’re currently using this address with your old mail program, however, you decide when to make the switch. Mail won’t start flowing to their Gmail account (and stopflowing to their old program) until you change your domain’s MX records to point to Google servers. See Get started with Gmail.

5. Use our deployment and training resources

To help ensure a smooth rollout, they’ve prepared a rich set of resources for deploying Google Apps, including In-app training for admins and users. You can also send your users to the Google Apps learning center for quickstart guides, videos, and tips for business users, and visit our Deployment site for rollout plans, technical guides, and templates for building your own learning center.

6. Grant administrator privileges to your IT staff

No matter what size your organization, they recommend that you distribute the responsibility of managing your users and services among a select set of trusted users. Do this by granting administrator privileges to those users. When an administrator signs in to their Google Apps account, they arrive at the Admin console just like you do. By contrast, users who aren’t administrators don’t see the Admin console when they sign in but go straight to their list of managed services.

7. Manage feature releases for your users

Google Apps is 100% web, so you and your users receive new features and updates automatically, without needing to install or update any software. However, you can easily track upcoming releases via our release calendar or blog. Also control when new features become available for users by setting up your Google Apps release process.

8. Remotely manage your mobile fleet

Use your Admin console to manage users’ mobile devices. Enforce security policies across your mobile fleet, remotely wipe lost or stolen devices, and more.

9. Track usage and trends

Monitor how individual services are being used across your organization by viewing usage graphs and reports in your Admin console. Analyze your team’s use of collaboration, identify unwanted security patterns, and track other trends.

10. Add domains for free

If your organization acquires a new domain name or does business at multiple domains, you can add all your domains to your account at no extra cost. Users can then have identities at one or more of your domains while sharing services as part of a single organization.
